Handover of building work: inspections and reservations

Prepare handover with the contract, a list of checks and precise descriptions of unresolved defects. Keep the date, documents and follow-up process together.

Gather the contractual reference documents

Collect accepted quotations, changes, plans and relevant exchanges. List checks by room and work package, including equipment that is easy to overlook. Ask the contractor how demonstrations and technical checks will be organised. General guidance cannot determine whether a particular defect justifies a contractual or legal remedy; consult the official references for your situation.

Compare the delivered work with the agreed scope

Observe workmanship under suitable conditions and ask for demonstrations of openings and equipment. Have necessary electrical, heating or other technical checks performed by the appropriate professional. Do not treat a visual inspection as a specialist test. Record missing items, differences from agreed references and relevant reports rather than relying on a general impression of completion.

Describe reservations so they can be acted on

Identify the room, location, item and observed problem. Add a photograph with a clear reference where useful. Avoid a phrase such as bad finish without explaining the defect. Retain the dated handover record and the versions held by the parties. Do not confuse a reservation recorded at handover with every other type of later complaint.

Agree how corrections will be followed

Record the expected response, access arrangements, responsible person and method of checking the correction. Protect adjoining completed work. Keep evidence of the intervention and whether the issue remains. If the parties disagree or the matter is significant, seek advice suited to the contract and facts rather than applying an informal rule from another project.

Collect the operating and maintenance file

Gather product references, invoices, notices, test records and updated plans for concealed networks. Match each document to the installed item. Request a demonstration of controls where appropriate. Keep information needed for future maintenance or a claim. The handover date and contract remain important reference points; the official French guidance explains the applicable guarantees.

Your preparation checklist

  • Contract documents available for inspection.
  • Checks organised by room and work package.
  • Specialist tests distinguished from observation.
  • Reservations precisely located.
  • Correction process documented.
  • Notices and records matched to installed items.

Questions before you commit

Is a photograph enough to describe a reservation?

Include the item, location and observed problem in writing. A photograph is supporting information, not a complete description by itself.

Does this page determine my legal remedy?

No. The appropriate steps depend on the contract and facts. Use the linked official guidance and obtain advice when necessary.
