Ask for documents while work is in progress
Include expected deliverables in the agreed scope and review them before the final visit. Some photographs or measurements cannot be recreated after surfaces are closed. Identify who records each concealed item and who supplies the final version. A folder assembled only from invoices will not necessarily explain how the installation was built.
Record the actual network routes
Keep plans or clearly located photographs of pipes, cables and access points. Mark rooms, orientation and relevant reference dimensions. Distinguish the final arrangement from the original design when it changed on site. Avoid presenting an approximate drawing as a reliable basis for drilling or excavation; have uncertainty checked before later work.
Match notices to the installed products
Record references, models and relevant commissioning information. Confirm that supplied instructions concern the actual equipment rather than a similar range. Keep information about controls, filters, shut-off points and access for service. Ask for explanations where operation is unclear. The required maintenance depends on the installed system and applicable rules, not one interval for every product.
Keep contract and handover records separately identifiable
Retain accepted quotations, changes, invoices, insurance documents and the dated handover record. Link reservations to correction evidence. Use clear file names and distinguish superseded versions without losing the history. For a later issue, this makes it easier to establish the agreed scope, the intervention and the documents relevant to the claim.
Make the file usable after the contractors leave
Create an index by work package and equipment, with both digital copies and accessible key instructions where useful. Keep the file updated after maintenance or alteration. Share relevant information with a future professional without exposing unrelated personal data. Missing or uncertain information should remain identified as such rather than being reconstructed from memory.
Your preparation checklist
- Deliverables agreed before completion.
- Concealed work recorded with location references.
- Final layouts distinguished from design plans.
- Notices matched to installed models.
- Contract and correction history retained.
- Index and update responsibility established.
Questions before you commit
Do photographs replace accurate plans?
They are useful supporting records. Their precision and limits should be stated; do not assume they establish a safe location for a later intervention.
Should every item have the same maintenance interval?
No. Follow the relevant instructions and applicable requirements for each installed system.
