List the operations and the decisions they need
Break each work package into preparation, installation, testing and finish. Note measurements, product choices, permissions and investigations that must precede it. Assign each decision to an identified person. A list of companies alone does not show when a wall can be closed or when a made-to-measure item can safely be ordered.
Identify dependencies between trades
Record what the next contractor needs: levels, dimensions, a dry support, an opening, a network route or a successful check. Agree who confirms readiness. A delay in one operation can affect several following tasks. Use the schedule to explain the dependency rather than promising that every company can simply shift by the same number of days.
Place deliveries after design validation
Confirm references, measurements, access and storage before ordering. Discuss handling, protection and inspection on delivery. Keep lead times as confirmed information or explicit assumptions. If a product changes, check its effects on supports, services and other orders. A delivery date is not a complete installation date when preparation or testing still needs to take place.
Schedule checks before concealed work disappears
Agree review points before pouring, lining, tiling or other closure. Record the area, the person responsible and what confirms readiness. Take photographs with location references and retain relevant reports. If a finding blocks the next operation, keep the reason visible in the programme and confirm the remedy before rearranging subsequent work.
Keep one dated schedule and action record
After meetings, record decisions, responsible people and expected dates. Distinguish a confirmed change from a suggestion awaiting approval. Reconcile the programme with the payment schedule and with the needs of occupants. Protect completed areas and plan handover and correction visits. Keep previous versions so that the reason for a change remains understandable.
Your preparation checklist
- Tasks broken down by work package.
- Decisions and dependencies assigned.
- Measurements checked before orders.
- Access, storage and delivery discussed.
- Checks scheduled before closure.
- One dated programme and action record maintained.
Questions before you commit
Is the shortest proposed schedule necessarily realistic?
Check preparation, investigations, procurement and dependencies. A short calendar with unresolved conditions may not describe an executable programme.
Who updates the programme?
Agree responsibility in the coordination arrangements. Each company should provide the information needed to maintain the shared version.
